A retirement party invitation names the person retiring, says what they're retiring from and after how many years if the family likes, gives the date, time and place, and sets the tone: a family dinner, an office farewell, a surprise, or a puja to give thanks. The best ones are personal. A line about the years of work, the early mornings or the people they looked after makes the invitation feel like a tribute rather than a notice.
Who hosts it
| Celebration | Usually hosted by | Guests |
|---|---|---|
| Office farewell | Colleagues or the organisation | The team, managers, sometimes the family |
| Family dinner or party | The children or the spouse | Family, old friends, close colleagues |
| Surprise party | The children, often with a spouse's help | Family and friends, sworn to secrecy |
| A puja or katha | The family | Relatives, neighbours, friends |
Many families hold two: the office farewell on the last working day, and a family celebration a week or two later. The family one can include the colleagues who've become friends.
What to include
- The name, and what they're retiring from: the bank, the school, the railways, the family business.
- The number of years, if the person is happy to have it mentioned.
- The date, the time and the venue, with a map link.
- The kind of evening: dinner, speeches, music, a puja.
- Whether it's a surprise, in large letters.
- An RSVP, especially for a restaurant booking.

Many Gujarati and North Indian families mark a retirement with a Satyanarayan katha or a small havan, giving thanks for the working years and asking blessings for the next ones. In Hindi, retirement is सेवानिवृत्ति, a word that appears on formal cards.
Planning the evening
- Ask the person what they'd like. Some love a big party; some would rather have a quiet dinner. Unless it's a surprise, let them choose.
- Invite the people from every part of their working life: the first boss, the long-time colleague, the junior they trained.
- Plan two or three short speeches, a colleague, a child and a spouse, two minutes each.
- Make something personal: a slideshow of old photos, a book of letters from colleagues, a framed first appointment letter.
- Keep it to the length they'd enjoy. Two to three hours is plenty for most.
A book of memories
Ask colleagues to write a few lines each about a memory with the person, and collect them in a small book or a folder. It's the gift most retirees keep reading years later.
Speeches that work
The best retirement speeches are short and specific. A colleague might tell the story of the person's first day, or the crisis they quietly solved. A child might talk about the early mornings and the school runs fitted around a long working day. A spouse might simply say what they're looking forward to now. Ask each speaker to keep to two minutes and one story; a list of virtues is forgotten by dessert, while a good story is retold for years.
In 1990, Papa took the 6:40 bus to the branch every morning. He took it for thirty-six years.
Rajesh trained half the people in this room, including me.
Surprise retirement parties
A surprise retirement party works best when the person enjoys a fuss and when someone close can bring them to the venue on a believable pretext. Put “It's a surprise” at the top of the invitation, ask guests to arrive thirty minutes before, and never post it in a group the person is in. The surprise party guide covers the planning in detail.
Gifts
Common gifts include a watch, a book, a trip, gardening tools, or something for the hobby they'll finally have time for. From the office, a group gift and a framed memento are traditional. From the family, the time together is often the best gift of all, along with a promise of the trip they've been postponing.
