A corporate event invitation must answer six questions quickly: what the event is, when it starts and ends, where it is, what to wear, whether families or partners are invited, and how and by when to reply. For internal events, pair the designed invitation with a calendar invite; for clients and partners, keep the wording more formal and the RSVP clear. Below are samples for the occasions Indian offices hold most often.
The essentials
| Detail | Why it matters |
|---|---|
| Event name and purpose | People decide whether to clear their evening |
| Start and end time | Commutes, childcare and late meetings |
| Venue, with a map link | Especially for off-site events |
| Dress code | Avoids the awkward over- or under-dressed moment |
| Who's invited | Employees only, partners, families, clients |
| RSVP and deadline | Headcount for food and transport |
| Transport | Buses or cab reimbursement for late events |
| Dietary options | Jain, vegan, allergies |

Tone
- Internal events: warm, short and clear. A line of personality is welcome.
- External events: formal, polished, and on brand.
- Festival events: inclusive. Many colleagues celebrate differently; the event is for everyone.
- Senior guests: a personal note or call from a leader, not only a group mail.
Calendar invites and reminders
- Send the designed invitation and a calendar invite together, three to four weeks ahead.
- Put the venue, the map link and the dress code in the calendar invite too.
- Send a reminder a week before with the RSVP deadline.
- Send a final reminder the day before with transport details.
- On the day, share the venue link once more in the team channel.
Always an end time
Put the end time on every invitation. People with families or long commutes are far more likely to come when they know when they can leave.
Virtual and hybrid events
For an event with remote colleagues or clients joining online, the invitation needs the link, the time zone, and what remote guests can actually do: watch the awards, join a breakout, receive a hamper. Send the joining link in the calendar invite rather than only in the designed invitation, and test it the day before. A line such as “Joining remotely? Your hamper will arrive by Wednesday” makes remote guests feel part of the evening rather than an afterthought.
What to ask on the RSVP
- Attending or not.
- Number of family members or a partner, if invited.
- Dietary needs: vegetarian, Jain, vegan, allergies.
- Transport: whether they'll use the company bus or cab.
- Accessibility needs, asked simply and privately.
Keep the form to five questions or fewer. Every extra question lowers the number of replies.
Inclusion
- Offer vegetarian, Jain and vegan food, and ask about allergies on the RSVP.
- Make alcohol optional, with good non-alcoholic drinks.
- Choose a venue with step-free access, and say so.
- For festival events, avoid assuming everyone celebrates the same way.
- Arrange safe transport home for late events, especially for colleagues travelling alone.
Late nights
For events with alcohol, be clear about transport home and don't pressure anyone to drink. The invitation can say “cabs will be arranged” to make that plain.
Branding
For corporate events, the invitation is also brand material. Use the company's colours and logo, keep the type clean, and make sure the design works on a phone, where most people will see it. The colour combinations guide helps adapt brand colours for festive events, and the how early to invite guide covers timing for every occasion. More planning guides are under planning and etiquette.
