Kids' birthday invitation wording, themes and the details parents need

Kids' birthday invitation wording for ages 2 to 12, themes children actually ask for, and the details parents need: drop-off times, allergies, return gifts.

A kids' birthday invitation needs the child's name and age, the date, a start time and an end time, the venue and a contact number. What changes with age is everything around it: toddlers come with parents, primary school children are often dropped off, and older children want an activity. The invitation should answer the questions the other parents will otherwise ask you on the class WhatsApp group.

About the samples

The names, dates and venues below are examples.

What changes with age

AgeWho comesWhat the invitation must say
2 to 4Children with a parent, often bothA short window (two hours), food for adults too, whether siblings are welcome
5 to 8Children, often dropped offDrop-off and pick-up times, a parent's number, any activity clothing
9 to 12Children, dropped off, sometimes in groupsThe activity, what to wear or bring, the pick-up time and place
A rough guide; your own child's circle decides.

The details other parents need

  • An end time, not just a start time. Parents plan pick-ups around it.
  • Drop-off or stay. Say it plainly: “Parents are welcome to stay” or “Drop-off party, pick-up at 7 pm”.
  • Activity clothing. Trampoline socks, clothes that can get paint on them, a swimsuit and towel.
  • Food. Whether it's snacks or a full meal, so parents know whether to feed the child first.
  • Allergies. A line such as “Let us know about any food allergies” is now normal and much appreciated.
  • Siblings. If younger siblings are welcome, say so; if not, say that kindly.
  • A contact number that will be answered on the day.

Themes children actually ask for

At this age the child usually has strong opinions, and the theme is theirs to pick. Some that stay popular year after year:

ThemeWorks well forOn the invitation
Space and planetsAges 4 to 10Rockets, stars, a dark navy background
DinosaursAges 3 to 8A friendly dinosaur and leafy greens
SuperheroesAges 4 to 9Bold colours and a comic-book frame, without copying a brand's logo
Princess or fairy gardenAges 3 to 8Soft pinks, flowers and a little castle
CricketAges 6 to 12A bat, a ball and a scoreboard with the age on it
Art partyAges 5 to 11Paint splashes and brushes; tell guests to wear old clothes
Science labAges 7 to 12Beakers and bubbles; the activity is the theme

Characters and copyright

If you use a famous cartoon or film character, keep it to your own decorations. Printing a studio's logo or artwork on something you sell or share widely can raise copyright questions, and a design inspired by the theme looks just as good.

Inviting a school class

Class invitations need a little care. If you're inviting the whole class, the class WhatsApp group or the teacher can help. If you're inviting only some children, send the invitation privately to those parents, and ask your child not to talk about it at school more than necessary. Nobody wants a seven-year-old to learn about a party from the class group.

When to send it

Two to three weeks before is right for most kids' parties, with a reminder two days before. Weekends fill up quickly during exam-free months, so earlier helps if your child's friends are popular guests. The first birthday guide covers the very first party, and sharing on WhatsApp covers sending to a list of parents.

For the design, the birthday templates include themes for children, or you can describe one to ShubhLink AI: “space theme, navy and gold stars, for a 7-year-old”. More birthday guides are under birthdays.

Questions people ask

How long should a kids' birthday party be?

Two hours for toddlers, and two and a half to three hours for older children. Put the end time on the invitation so parents can plan pick-ups.

Should I mention return gifts on the invitation?

No. Return gifts are a surprise for the children, and mentioning them reads oddly. Just have them ready at the door.

Is it rude to say ‘no gifts’ for a child's party?

Not at all. A line such as “Please don't bring gifts; we'd just love Kabir's friends there” is clear and kind. Some families suggest a book exchange instead.

Do I need to invite the whole class?

No, but if you invite only some children, send the invitations privately rather than through the class group, so nobody feels left out.
